Fall Weekend in the Smokies

Join us in beautiful Gatlinburg, Tennessee - the gateway to the Great Smoky Mountains - for an unforgettable fall weekend, Friday through Sunday, October 24-26. Want to extend the weekend?  Add a few days before or after with our special lodging rates!  Expect breathtaking foliage, crisp mountain air, and a lineup of events that blend outdoor adventure, local flavor, and lively socializing.

This annual Crescent Ski Council Fall Conference includes:
  • Guided hike in Great Smoky Mountains National Park
  • Moonshine tasting and distillery tour
  • Vendor trade show with hot and cold appetizers, desserts, wine & beer provided.
  • DJ/Dance Party dressed in Halloween finery with wine & beer provided.
🍂 Why October?
Mid-to-late October is prime leaf-peeping season in the Smokies. When warm, sunny days meet cool autumn nights, the mountains light up in a fiery display of reds, oranges, and golds - and you're invited to hike right through it.

🏨 Lodging
We’ve secured deeply discounted group rates (about 50% off typical pricing) at Glenstone Lodge. Want to turn it into a longer getaway? If you want to stay longer you can add up to two nights before the weekend at the same great rate.  If you'd like to continue your stay after the conference with our special rate, please contact the trip leader who can help arrange that for you.

🧭 Who Should Come?
Everyone’s welcome - from longtime members to curious first-timers. For those involved in club leadership (or interested in getting involved), Saturday morning includes sessions on Trips, Recreational Racing, and Club Administration.

Register via your NSC membership account by visiting the Event Page.
Base Cost: $47 per person - other options available
Deadline: Monday, September 8, 2025
(Some events are free, but all require an RSVP.)

🎟️ What’s Included?

Your conference registration gives you access to all group events and socials with members from ski clubs across the Crescent Ski Council.
Note: Lodging and transportation are on your own.

📅 Weekend Schedule (All times Eastern)

Friday
  • Dinner on your own
Saturday
  • 7:00 AM: Breakfast (on your own) at Log Cabin Pancake House (0.2 mi walk)
  • 8:30 AM: Club Leadership Meetings – Admin, Racing, Trips
  • 9:00 AM: Optional group hike (free; bring lunch/snacks, water, and NP parking pass); more info upon arrival
  • 12:00 PM: Lunch for registered meeting attendees (at hotel)
  • 2:15 PM: Moonshine tasting at Ole Smoky Distillery (0.5 mi walk)
  • 5:00–7:00 PM: Vendor Trade Show with hot & cold appetizers, desserts, wine & beer provided.
  • 7:00–10:00 PM: Halloween DJ Dance Party with wine & beer provided.
Sunday
  • 9:00 AM: CSC Board Meeting (for Club Reps Calita & Pete – preregistered)
  • 11:00 AM: Hotel checkout
All other meals are on your own unless otherwise noted.

💵 Payment & Cancellation Policy
  • Payment is required in full to reserve your spot.
  • Log in to your member account to register.
  • 100% refundable until 5:00 PM, Monday, September 8, 2025.
  • No refunds after that date unless we can re-sell your spot or recover the cost.

  • $47 – Conference only (no meals included)
  • $16 - Meeting attendance only (no trade show or meals)

  • Room rates listed below are exclusive of local taxes and fees which are currently 12.75%
  • Deposit of first night's room rate + taxes/fees required at the time of reservation; balance due at check-in
  • Several room types available: 
    • 2 Queen Bed Exterior or Interior Room: $119 Sun-Thu nights
    • 2 Queen Bed Exterior or Interior Room: $149 Fri-Sat nights
    • 2 Double Bed Front Balcony Room: $139 Sun-Thu nights
    • 2 Double Bed Front Balcony Room: $169 Fri-Sat nights
  • Cancellations may be made 72 hours prior to arrival date. Cancellations made within 72 hours of arrival date forfeits the first night's room/tax.
  • Amenities include: free parking, guest room internet, in-room coffee/tea, microwave, mini-fridge, flat-screen TV, Ironing board, blow dryers, atrium pool, hot tub, etc., city trolley stop.
  • Lodging Cancellations up til 72 hours prior direct with hotel.
  • Check-in time is 3:00 PM and checkout time is 11:00 AM

TRANSPORTATION: Gatlinburg is approximately 3-1/2 hour drive (220+ miles) from Nashville depending on where you live/traffic. Drive on your own schedule. Speak up if you would like to car pool.
